Pull a list of exactly the people you want

Searching one name at a time is fine until somebody asks "who are all the leads from last month that we never called back". For that you want a saved list. You build it once from filters, and it keeps itself current: people drop in and out of it automatically as their details change.

Build one

  1. Go to Contacts, then Smart Lists.
  2. Click + Add smart list.
  3. Pick a filter from the dropdown on the right, fill in the detail it asks for, and click Apply.
  4. To narrow it further, choose AND and add another filter. Keep going until the list is what you want.
  5. Click Create at the bottom to save it.

The part people miss

This is a live list, not a snapshot. If you build "leads with no appointment booked", somebody who books tomorrow disappears from it by themselves. You never maintain it.

Three worth building on day one: people who enquired but never booked, clients you have not spoken to in 90 days, and everyone from a single source such as your website. Those three answer most questions you will be asked in a week.

Filters that are actually useful

  • Tags, for anything you mark by hand.
  • Source, to separate website enquiries from referrals and campaigns.
  • Pipeline stage, to see everyone sitting at one step of your process.
  • Engagement, such as whether they opened a recent email.

You can also choose which columns the list shows, so a call list can show phone numbers instead of email addresses.
