Text every caller you miss, automatically
Most people who ring a business and get no answer do not leave a voicemail, they ring the next name on the list. This feature sends a text the moment a call goes unanswered, so the conversation carries on by message instead of ending.
Turn it on
- In your account, click Settings in the bottom left corner.
- In the left menu click Phone System, then Voice in the top navigation.
- Open Voicemail & Missed Call Text Back, then click Missed Call Text Back in the side panel.
- Tick Enable Missed Call Text Back, then click Customize to write the message.
- Underneath the message box, pick a number and send yourself a test. Read it on your own phone, then click Save.
What the message should say
Short, and it must say who it is from, because an unexplained text from an unknown number gets deleted:
"Sorry we missed your call, this is [your business]. Reply here and we will get back to you."
You can drop in details like the caller's name automatically. Do not promise a callback time you cannot keep.
Worth knowing
- Answered calls never trigger a text.
- Anyone who has asked not to be contacted will not be texted, which is correct and not a fault.
- If a text cannot be sent, the failure shows in that person's conversation with the reason, so you are never guessing.
- While you are in these settings you can also set how long the phone rings before voicemail picks up, and upload your own greeting as an mp3 or wav instead of the generic one.
Test it properly
The test button checks the wording. To check the whole thing, ring your business number from your own mobile and let it ring out. You should get the text within seconds, and your reply should appear in the shared inbox.
